The Finance and Administration Officer will oversee the financial operations of the institution, ensuring compliance with regulatory standards, internal policies, and funding partners’ requirements. This role involves strategic financial planning, budgeting, accounting, financial reporting, audit facilitation, and risk management to support institutional sustainability and growth.

What you'll do

  • Monitor budget implementation, identify variances, and provide timely analysis.
  • Advise management on budget adjustments and resource allocation.
  • Maintain accurate and up-to-date financial records.
  • Ensure timely processing of payments, receipts, payroll, and reconciliations.
  • Implement and oversee accounting systems and internal controls.
  • Prepare monthly, quarterly, and annual financial reports for management and funders.
  • Ensure compliance with international and local financial reporting standards.
  • Support the preparation of financial statements and forecasts.
  • Coordinate internal and external audits, ensuring timely submission of audit requirements.
  • Ensure financial activities comply with organizational policies and donor regulations.
  • Identify and mitigate financial and operational risks.
  • Track financial performance of grants and donor-funded projects.
  • Ensure accurate and timely financial reporting to donors.
  • Monitor restricted vs. unrestricted funding and ensure compliance with grant agreements.
  • Conduct training sessions to enhance financial literacy within teams.
  • Ensure efficient office operations by managing administrative systems, records, procurement, logistics, and financial support tasks.
  • Assist in HR processes, coordinate institutional activities, and support leadership with documentation, compliance, and communication needs.
  • Lead the preparation of annual and project-specific budgets.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field. A master’s degree is an added advantage.
  • Certified Public Accountant (CPA), ACCA, or equivalent professional certification.
  • Minimum of 5 years of progressive experience in finance or accounting, with at least 2 years in a supervisory role.
  • Experience working with NGOs, research institutions, or donor-funded projects is preferred.
